Administrative Manager
(Tempe Office)

We are looking for a talented Administrative Manager to join our growing Tempe office.
Summary:
The Administrative Manager (Tempe) is a member of the administrative team and provides office support to staff and management team. The Administrative Manager is responsible for managing general office, machines and systems, plus billing thru Vision software.
Duties:
Administrative
- Assist Corporate Business Manager as needed;
- Supervise and coordinate activities of Tempe office administrative staff;
- Review and Approve timesheets;
- Post Paid Time Off (from timesheets) to spreadsheet;
- Monitor and track staff Continuing Education and License Registrations
Project Administration
- Coordinate with Project Managers and produce invoice billings in Vision software;
- Assist with preparation of proposals, contracts, agreements, and amendments;
- Project administration in Vision (project management and billing software);
- Perform Accounts Payable entries and coordinate weekly payables with Business Manager;
- Manage and coordinate sub consultant weekly payables with Business Manager;
- Project Opportunity and Proposal set up in Vision;
- Set up projects in PaperCut
Human Resources
- Coordinate Vision training for new employees;
- Coordinate new employee placement and onboarding;
- Various minimal Human Resources duties
Reporting Structure:
The Administrative Manager reports directly to the Corporate Business Manager, based in Austin, Texas, and the Managing Principal of the Tempe office. The Administrative Manager also works directly with, and in support of, all members of the staff and senior management.
Education and Experience:
- Bachelor of Business Administration, Finance, or closely related field;
- 5 years of A/E industry experience at small-to-mid-size private-practice A/E firm;
- 3 years of experience using Deltek Vision accounting software
Skill Set:
- Well-developed skills using Deltek Vision accounting and project management software;
- Advanced organizational and administrative skills;
- Advanced collaborative, delegation, and coordination skills.
- Ability to work collaboratively without close supervision;
- Ability to multi-task and prioritize without close supervision
- Well-developed interpersonal skills;
- Excellent verbal and written communications skills;
- Advanced Microsoft Office suite (emphasis on Excel) and Deltek Vision software skills;
- Understanding of A/E industry business standards, terminology, and procedures;
- Understanding of Planning and Landscape Architecture practice;
